Cartoon Nick's inbox is where good intentions go to die. Quotes that never got a second nudge. Leads that asked a question on a Friday. A vendor invoice buried under fourteen newsletters.
AI is very good at email, as long as you never let it send anything. Here are the two habits that turned the inbox from a guilt pile into a ten-minute morning task.
AI at Work Tip #83: The ten-minute triage
Most AI tools now connect to Gmail or Outlook. If yours does, run this each morning. If not, paste the subject lines and first lines.
Review my unread email from the last 24 hours. Sort into four buckets: (1) Reply today, (2) Reply this week, (3) Money (invoices, payments, receipts), (4) Noise. For bucket 1, draft a reply in my voice: short, direct, friendly, no exclamation points, sign with my first name. Flag anything mentioning a deadline, a complaint, a refund, or a new lead at the very top. Do not send, archive, or delete anything. Leave drafts for me.You read the flags, approve the drafts, and the rest of the day belongs to you.
AI at Work Tip #84: Follow-up sequences that do not smell like automation
Everyone can tell when a follow-up was written by a robot: "Just circling back!" AI can write better follow-ups than that if you give it the one thing robots do not have, which is the actual context of the conversation.
I sent [person] a quote for [service] on [date]. Their original message said: [paste]. Write a three-message follow-up sequence for days 3, 7, and 14. Each under 80 words. Each must reference something specific they said. No "circling back," no "just checking in," no "hope this finds you well." Message 3 closes the loop politely and leaves the door open. Sign with my first name.Reference what they said. That is the whole trick. It is also why AI follow-ups from a template never work: the template does not know what they said.
What's hot right now
ChatGPT can now hold multiple Gmail accounts in one conversation and trigger tasks from a Gmail webhook, so "when an email arrives from a new lead, draft a reply and ping me" is a five-minute setup. Grok Bot's Front Desk pattern (Tip #81) does the same job with more autonomy. Either way, the human still hits send.
Where your web guy fits in
Half of the leads that go cold do it because the contact form on your site sent them a robotic auto-reply, or no reply at all, and by Monday they had called someone else. Fixing the form, the auto-reply, and the handoff to your inbox is a small job with a big return, and it is on the checklist of every site I take over at webguynick.com.
Frequently asked questions
Can AI sort my email?
Yes. Connected to Gmail or Outlook, it can bucket messages and draft replies. Keep sending in your own hands.
How do I make AI follow-up emails sound human?
Give it the actual conversation and require each message to reference something specific the person said.
